Who this notice covers

This notice covers the RoomWish home-styling website, optional feedback study, historical RoomWish WhatsApp styling pilot and photos you send us by email in reply to an invitation. The current preview, comparison and factory-enquiry workflow is completed on this website. RoomWish handles information you give us to provide these services. Contact RoomWish website support (for website plans), or write to designer@roomwish.net (for photos sent by email), about privacy, access, correction, deletion or withdrawing consent.

Home survey and S$5 thank-you gift

We count survey starts, completed steps, submission attempts, fixed error categories and foreground time using our existing first-party aggregate analytics. These counts do not contain unfinished answers, typed text, email addresses or household details. To see where people stop, each opening of the survey page also gets a random visit number. It is not stored in a cookie and is not linked to your submitted response. For that visit we record which steps and questions were reached or failed a check, timing, scroll depth, device and browser type, and the advertising source in the link. We never record your answers, typed text, email address or IP address in these visit records, and we delete them after 30 days. Optional detailed analytics follows your existing analytics choice. Survey pages are not recorded in session replay. Preview and test activity is excluded from production reports.

RoomWish, operated by SOMNIA PTE. LTD., Singapore, surveys owners of newly built BTO, EC and condominium homes, and whole-home HDB or condominium renters in Singapore. Before showing the furniture pilot, we ask about your home, furniture situation, main concern, shopping channels and who mainly decides which furniture to buy. Renters also answer about landlord-provided furniture and expected remaining stay. After the pilot card, you choose interested, unsure or not interested and a main reason. An additional comment is optional unless you choose Other. Required questions and a valid email must be completed to submit.

Eligible households each receive one S$5 GiftPay eGift Card after eligibility checks. Conditions are: the stated housing eligibility, complete required answers, a valid delivery email, and no previous submission from the same household or email in this round. Staff check only housing eligibility and duplicates; a negative opinion, lack of furniture demand, a short answer, selecting Not sure, declining an interview or not buying does not disqualify you. We email gifts within two business days of eligibility confirmation. The face-value budget is S$500. Gift eligibility is separate from selection for the free-room pilot.

Submitting once saves your response and pending eligibility-check record together. There is no separate gift application. Invalid, incomplete or duplicate-email submissions do not consume a place. Submission enters an eligibility-check queue and does not reserve a gift place. Pending, duplicate and ineligible responses do not count towards the 100 eligible-household limit. Staff review in successful-submission order and link confirmed duplicates to the same household reference, without requiring identity or tenancy documents. The website automatically stops accepting responses when 100 households are confirmed eligible. Correcting an unsent eligibility decision releases its place; a manually paused survey remains paused. Previews save nothing. A random receipt reference may be retained in this tab’s session storage. Answers and email are not stored there.

Your email is encrypted and used for gift checks, delivery, duplicate prevention and related support. A keyed email identifier prevents repeated use of the same email; different emails alone do not establish different households. Only choosing I’d like to know more also authorises a reply about the furniture pilot. Choosing It depends / I’m not sure or Not interested does not authorise pilot follow-up, interviews or marketing.

Authorised staff record objective ineligibility reasons and evidence, internal household references, eligibility confirmations and GiftPay fulfilment references. Changes are recorded in a review history; internal household references are submission references, not unit numbers or identity documents. The website does not automatically buy or send gifts. Gifts are manually sent through GiftPay using your email; survey answers and photos are not sent to GiftPay. GiftPay and the redemption retailer process delivery and redemption under their terms. This survey does not automatically send responses to AI services, advertising providers or suppliers.

The survey itself does not ask for identity documents, tenancy papers, photos or unit numbers. Records are retained as needed for research, fulfilment, abuse prevention and disputes, then reviewed for deletion or anonymisation. Contact RoomWish website support with your reference for access, correction or deletion. This survey records feedback. Participation in the furniture pilot and any photography or case-study use are agreed separately, in writing, beforehand.

Photos you send by email

If we invite you by email to send a photo of a room, we use the photos you reply with to make your design. If you are later selected for the pilot, we may also use them for a case-study display; photography and case-study use are agreed with you in writing beforehand. We keep emailed photos and the designs made from them in a private archive, where we may use them to learn what people need. We may show furniture partners a version with your name, unit number and faces removed. We do not publish your photos unless you agree in writing, and we do not share your name, address or contact details with partners. You can ask us to delete your photos at any time.

Information we collect

  • Room photos you upload and historical floor-plan attachments saved before that upload option was removed; generated previews; room type, number of bedrooms, style selections and furnishings you already have.
  • If you request a website quote: your verified email account, selected furniture and quantities, budget and preferred timing, saved room, requirements, private attachments, replies and quote history. No phone number is required. Authorised RoomWish staff can view your verified contact email to handle your enquiry. We use Amazon SES to send service notices when the team replies, requests information or publishes a quote, and retain notification status to prevent duplicate sending and troubleshoot delivery. These are enquiry updates, not marketing. View details and reply on the website. Internal notes and quote drafts do not trigger notices. Submitting an enquiry does not automatically send your information to suppliers. Photos you send us by email are handled as described in Photos you send by email, including the version with your name, unit number and faces removed that we may show furniture partners.
  • If you choose a research interview: your answers, inferred research notes about your housing and furniture needs, and any email you provide for a research gift. You may skip a question or stop. You do not need to share identity documents, an employer’s confidential information or financial account details.
  • For participants in the historical WhatsApp pilot only: the sender’s number, message identifiers, relevant message text and image references, preferences, consent, test allowance, generated previews and processing status. Access may be provided through an earned interview pass, a paid viewing pass or approved testing.
  • Session cookies, basic website activity such as preview and quote-request events, and technical/security information. We use a hashed IP-based counter on certain routes to limit abuse.

How we use it

We use your information to save your plan, generate room concepts, answer your enquiry, prepare a furnishing quote, operate the pilot, diagnose errors and prevent abuse. Optional research helps us understand moving and furnishing needs; our team can review the interview and AI-generated research notes. Gift contact details are for fulfilment and related support.

A quote request authorises a response about that request. It does not subscribe you to marketing. RoomWish does not sell your personal information or automatically publish your photos, chats or previews in advertising or a portfolio. Any separate promotional use would require separate permission.

AI and service providers

When you request an AI preview, the selected photo and styling instructions are sent to OpenAI for GPT image generation. Photos you send by email that we upload into our design tool are processed by the same AI service providers as website uploads. Emails are held by our email service provider. Optional interview content and relevant room context are processed by a BytePlus text model. When you request a website furnishing preview, we first create an internal style concept, analyse its furniture and search for real products before generating the final product-based preview. You do not need to separately approve the internal concept. Existing previews can also be compared on request. Cropped furniture details from that generated preview are uploaded to SerpApi for Google Lens image search and, when marketplace image search is enabled, to Nexscope and its storage/search providers for TikTok and Amazon image searches. Google Lens searches for candidates across Singapore retailers and marketplaces, including Shopee Singapore, Lazada Singapore and Amazon.sg. These searches use furniture images; they do not fall back to keyword-only searches. An OpenAI GPT model checks the concept and furniture search images and compares candidate product images for visual similarity. The final room image is generated using the selected product references; it does not receive a separate automatic final-image review. Generic product descriptions and retailer links may also be sent to SerpApi and Tavily for search and price verification. Search providers do not receive your phone number or conversation history. Tavily does not receive room images. Furniture crops may still contain small surrounding details; do not include sensitive information in room photos. Comparison records include the furniture list, links, price evidence and verification date, and are removed with the associated room or account under the deletion policy. For historical WhatsApp participants only, after you agree to the WhatsApp assistant’s notice, your text messages and a limited conversation history are also processed by that text service to answer questions and discuss your home preferences. Only if you separately connect the historical WhatsApp service, we associate the website plan, pass order or completed interview with the WhatsApp number you verify by sending the activation message. A structured summary of your confirmed needs, such as housing purpose, preferred area, style, budget and items to retain, guide website furnishing requests and, for connected historical users, their conversations. We do not transfer the full interview transcript into every model request. AI can make mistakes; you may correct its assumptions and ask us to correct research notes.

WhatsApp messages and media pass through Meta/WhatsApp. The production website is hosted on AWS in Singapore. RoomWish’s authorised operators can access records needed to provide support and fulfil your request. We may provide your gift-delivery details to the provider used to fulfil an approved gift.

These providers may process information outside Singapore. Their services have their own terms and privacy practices; this notice does not promise that their records are erased immediately when you delete a RoomWish plan. Contact us with questions before sharing sensitive information. Do not upload faces, identity documents or private papers when an empty-room photo will do.

Payments through Stripe

Payment setup is for SOMNIA PTE. LTD., Singapore, operating RoomWish. When paid checkout is available, Stripe hosts the payment form and processes the payment details you enter. RoomWish stores the order and payment reference, amount, currency, payment, refund/dispute and activation status, browser-session identifier, optional WhatsApp contact reference and selected room/style. Card numbers and CVC codes are not stored by RoomWish. Order references, the fixed pass price and return address are sent to Stripe; room photos, interview answers, chat content and your WhatsApp number are not included in our checkout request. We use these records to provide service, prevent duplicate activation and investigate payment issues. Necessary transaction records may be retained for accounting, dispute handling and legal obligations. Contact support for access or deletion requests. Clearly labelled sandbox checkouts use test data and do not charge real money.

Your permission and choices

Upload only photos you have permission to share for AI styling. The upload notice explains this before you submit photos. Research and quote follow-up have separate consent steps. The WhatsApp test provides a processing notice and asks you to send START before processing photos. Send STOP to pause photo processing; this does not itself erase existing records.

You can withdraw consent through RoomWish website support. We will explain how this affects services that need your information. Declining an interview or furniture purchase does not remove rights to a research gift already earned under the study’s stated conditions.

Website furnishing service

You can activate an earned interview pass on the website without a WhatsApp number. New services use credits: 50 welcome credits and 50 interview reward credits each last 30 days; 100 purchased credits last 90 days. Your first preview can start in an anonymous browser session. Its 10 credits are an advance from the same 50 welcome credits, not an extra grant; the usage is carried over when you link this browser to an email account. Subsequent credits are linked to the verified email account. Existing connected services share the same allowance and original expiry; no extra allowance is created. We save your browser-owned order, confirmed needs, room photos, task progress, product references, generated images, price evidence and results to complete your request. Photo processing and furniture-search providers are the same as described above. Website jobs continue when you close the page. Credits are reserved for a request and charged on successful delivery; failed or held work releases its reservation. Returning in the same browser reopens saved tasks. Website results remain with the saved room until you delete it or they are no longer needed for the service. Credit expiry does not itself delete results. Credit grants, reservations, charges and correction records are retained to explain your balance, prevent duplicate rewards and handle disputes. No phone number or external messaging app is required to generate results, compare furniture or submit an enquiry.

Storage and retention

Recent recovery backups can retain deleted records temporarily until backup rotation. Backups are private, encrypted in storage and used for recovery, not marketing or routine customer browsing. After recovery, deletion requests must be reapplied before customer processing resumes. Website plans remain saved until deleted or no longer needed for the service; a browser session expiring does not itself delete a plan. Quote and research records may remain while we handle your request, feedback or gift. We review retained information and remove or anonymise it when it is no longer needed, except for necessary legal, dispute or abuse-prevention records.

We keep emailed photos and the designs made from them only as long as the purposes above need them, and we review them regularly. Those no longer needed are deleted or anonymised.

WhatsApp messages and preview files are scheduled for cleanup after 30 days while the processing service is running. During this pilot, interrupted processing can delay cleanup; you can request deletion directly at any time. For automatic furnishing, we save the original WhatsApp photo, internal concept, selected product references, generated outputs and verification evidence for up to 30 days so interrupted tasks can resume. They are also removed when you send DELETE. Meta, OpenAI, BytePlus and the named search providers process the relevant images to provide the service.

Deleting a website plan removes its photos, previews, linked quote and interview text/email. Limited research fulfilment status and an email hash used to prevent duplicate gift claims can remain. A hash may still be personal data; contact us to review deletion of remaining records.

Technical fault records

To investigate broken requests and browser errors, RoomWish keeps separate first-party operational fault records on its Singapore server. These contain the time, a random identifier for one request or error, a route template, HTTP status, controlled error description, limited code-file and line locations, application release version, operation category, request duration, resource category, safe public asset basename and coarse device/browser category. Request identifiers are not reused as a visitor identity. We do not include request bodies, form values, room photos, private room links, query strings, account identifiers, credentials, cookies, IP addresses or arbitrary error-message text in these fault records. Browser reports omit cookies and referrer, are limited and may be incomplete. Our support log retains up to 30 days and the latest 10,000 records; server output logs rotate by size. These records are for service reliability, are not sent to PostHog or advertising providers, and do not enable optional journey analytics or replay.

Activity measurement and your choices

Basic anonymous totals run independently of optional detailed analytics. They count fixed public-page actions, upload and service outcomes, foreground time, coarse scroll-depth bands and public-region click cells. Requests omit cookies and referrer. We store only aggregated counters in 15-minute buckets, coarse device categories and fixed page/region labels, without visitor, account, session or event identifiers, IP addresses, full URLs, form text, photos or chats. The endpoint does not store request headers or event sequences, and these new counters are not sent to PostHog. Network providers necessarily receive connection information to deliver requests; operational service and security records remain separate. Anonymous counters are retained for up to 366 days and are not associated with an account for individual retrieval or deletion. They cannot reconstruct an individual journey. Counts are best effort and do not represent unique people. Older operational browser records and existing anonymous cloud counts remain separate.

On first visit we show a choice at the top of the page, before advertising preferences and navigation. You can allow detailed analytics or choose Basic totals only. On mobile, Analytics preferences remains at the top after a choice, and a footer link is also available. A previous refusal keeps detailed analytics and replay off; choosing Basic totals only stops detailed analytics but leaves these anonymous counters running.

When you choose Allow detailed analytics, RoomWish uses PostHog Cloud to understand how visitors find the service, use room previews, choose payment or an interview, activate website service, view retail references, submit enquiries and return to view or comment on quotes. An enquiry or quote is not recorded as a completed furniture sale. After verified pass activation we connect these events using a random internal identifier. We send event names, timestamps, room/style choices, permitted campaign labels, amounts and success/failure states. Phone numbers, activation codes, room photos, payment-card data and interview or WhatsApp message content are not included in these analytics events.

After you allow analytics, we also measure foreground page time, recent-interaction time, visible public-page regions, click and scroll heatmaps, sampled mouse/touch positions, upload attempts and technical outcomes. Coordinates use fixed region identifiers and do not contain text you type, customer photos, private links or chat content. These signals are visibility and interaction proxies, not eye tracking. Touch traces can be incomplete when the browser handles scrolling. Detailed behavior is not collected under the anonymous counting default.

A separate, unchecked choice offers a masked replay of the public homepage and upload dialog before choosing a photo. We sample 20% of eligible sessions, capped at 100 starts per 24 hours. Replay stops before private-room content, account dialogs or selected photos are shown. Form fields, text, links, images, canvas and private content are blocked or masked; network bodies, headers and console recording are disabled. Declining replay does not prevent other analytics or use of the service. Replay is stored by PostHog; it is not a screen recording of your device. Linked web and WhatsApp journey analysis remains optional; it is not enabled by the anonymous counting default. PostHog processes data in the US or EU region selected for this project, outside Singapore. Browser requests also reach that provider; server-side events disable IP-based geolocation.

You can change your choice using Analytics preferences on the website. Declining does not affect your pass or previews. Withdrawing stops future linked analytics and removes unsent events; it does not automatically erase data already received by PostHog. Contact support to request deletion there too. Analytics delivery records are kept locally for 30 days after delivery. Sanitised detailed behavior records and compressed, versioned JSONL archives in our private AWS S3 storage are retained for up to 90 days; non-identifying daily summaries for up to 12 months. Withdrawal also removes our detailed behavior records and queues deletion of related S3 archives. Backups rotate under the recovery policy above. Our replay retention target is 30 days; cloud retention and deletion follow the PostHog project settings and plan. Event and replay retention in PostHog follows our project settings and plan; we review it for this pilot. Necessary service, payment and security records remain separate from optional analytics.

Optional advertising measurement

Advertising measurement is off until you choose Allow. Meta measures visits to permitted public pages. TikTok measures public visits and confirmed account creation, furniture-comparison views, saved factory enquiries and successful purchases of RoomWish service credits. An enquiry is not a furniture sale; a Purchase event refers only to paid service credits. These signals can be used to measure and personalise ads.

Advertising providers may receive event time, browser and device information, IP address, advertising click identifiers and permitted cookies. We do not send email addresses, phone numbers, room photos, notes, interview or enquiry messages, private room links, account identifiers or card details in these events. TikTok runs in an isolated, blank frame that cannot access the website’s forms, account storage or room content. Automatic advanced matching, enhanced data postback and TikTok first-party cookies are disabled. Only the allowed event labels, deduplication identifiers and the confirmed service-credit price are passed to it.

Your choice is stored in this browser for up to 180 days. Previous permission for Meta alone does not enable TikTok. You can refuse or withdraw through Advertising preferences on the public and service pages. Refusing does not affect your service or credits. Withdrawal stops future advertising events and clears RoomWish’s TikTok click/session queue and deduplication records, and attempts to remove first-party Meta cookies. It does not automatically delete information already received by a provider or cookies on its own domains. Contact website support for a deletion request.

After permission, a TikTok ad click identifier may be retained in this tab for up to one day, pending events for up to one hour, and non-account event identifiers for up to seven days to avoid duplicate reporting. Browser restrictions and blockers can prevent measurement. This integration does not subscribe you to email marketing and is separate from optional PostHog product analytics. Meta and TikTok may process data outside Singapore under their Meta privacy policy and TikTok privacy policy.

Email sign-in and account recovery

When email sign-in is available, registration and login use the same one-time email code. We store your verified email in encrypted form and use a separate keyed identifier to find your account. Amazon SES in Singapore delivers the code to the address you enter. When you request a completion notice, it also sends a one-time service email to your verified account with a thumbnail, a secure website result link and the next step for requesting a factory proposal. Website login is still required to access private results; the email link does not grant access. We store your notice preference and delivery status, retry confirmed delivery failures and do not subscribe you to marketing. Codes expire after 10 minutes, can be used once, and have limited attempts. They are not stored as readable codes. Login cookies last up to 30 days; you can sign out on each device. Your email is not automatically subscribed to marketing.

If you choose to save this browser’s data, its rooms, interview and existing service are linked to your verified account. Remaining designs and the original service expiry are preserved. Signing in does not grant another interview pass. Contact RoomWish to request account access, correction or deletion.

Website enquiry records

Website enquiries are linked to your account and saved room. Only the owning account and authorised RoomWish staff can access enquiry files and quotes. Internal supplier details and notes are not included in customer responses. Changes to requirements and published quotes are versioned. Operational records distinguish an enquiry, quote, view and feedback from a purchase. Deleting the linked website room also removes its enquiry records and attachments. Backups follow the existing retention process described above. Quote expiry and pass expiry do not automatically delete an ongoing enquiry.

Cookies, security and access

A session cookie lets the same browser reopen its saved plan; it is configured for up to 90 days. A separate management cookie is used for authorised staff. RoomWish records basic first-party product events. Optional Meta and TikTok advertising measurement is described above.

Access to stored room plans and photos is restricted to their anonymous browser session or verified account, and authorised management access. WhatsApp credentials and stored message payloads are encrypted. No service can guarantee absolute security. Avoid sharing your browser session or management credentials.

Access, correction and deletion

Read the data deletion instructions for website controls, WhatsApp commands and a manual support route. You may also request access or corrections. We may ask for a reference or confirmation from the original contact number to verify ownership; for emailed photos, we verify through the same email address. Please do not send passwords or API keys. If a record must be retained, we will explain the reason and scope.

Updates

We will update this page when our data practices change. Material new uses will be explained and additional consent sought where needed.
